How Events work

Event creation consists of two steps:

  1. Basic Information
  2. Participants and Settings

The first step contains the event name, description, start date and end date. Quick date options include today, tomorrow, and one week from now.

The second step is used to configure participants, capacity, catalog visibility, feedback, and other event settings.

An event can be saved as a draft or published.

Draft events are not visible to employees. Once published, an event can become available in the catalog if its registration conditions are met.

Event information

The event card can contain:

  • name;
  • description;
  • start date and time;
  • end date and time;
  • internal or external type;
  • event type;
  • location;
  • organizer;
  • responsible employee;
  • event and calendar text colors.

Event types

Brusnika.LMS provides 30 predefined event types, including:

  • webinar;
  • training;
  • conference;
  • master class;
  • workshop;
  • meetup;
  • mentoring;
  • hackathon;
  • internship;
  • assessment.

A custom event type can also be specified.

The internal/external attribute can be used as a filter label.

Location

An event can contain either:

  • a physical address;
  • a link to an online conference.

This allows the same module to support both in-person and online events.

Participants and registration

Participants can be added individually or by department. The Add from department option can be used to add employees from a department.

Each event can have a participant limit:

  • a specific number of places;
  • 0 β€” no participant limit.

Registration by request

When an event requires registration approval, an employee submits a request through the event catalog.

Requests appear in the Requests tab of the event card. A moderator can:

  • approve a request;
  • reject a request with a reason;
  • approve all requests;
  • revoke an approval.

When a request is rejected, the employee receives a notification with the reason.

When there are no available places, new requests are no longer accepted. A moderator can still manually add an employee even if this exceeds the configured capacity.

Canceling participation

An employee can select I won't be able to attend. The released place then becomes available again.

After the event, the employee can indicate:

  • Yes, I attended;
  • No, I did not attend.

The moderator can also record actual attendance. This information is used for attendance reporting.

Event catalog

Employees can browse available events in the catalog.

The catalog provides two viewing modes:

  • list;
  • calendar with a monthly grid.

Events can be filtered by:

  • internal or external events;
  • registration type;
  • event type.

Depending on the event status, users can perform actions such as:

  • Register;
  • I won't be able to attend;
  • Assign;
  • Share;
  • Copy link;
  • delete.

Event statuses

The catalog uses the following statuses:

When an event is canceled, existing registrations and requests remain, but new registration is unavailable.

Employee account

Employees can access their events under Learning β†’ My Events.

The section contains:

  • the employee's events;
  • a counter for registration requests awaiting a decision;
  • assigned events;
  • a calendar.

An assigned or already registered event can be visible to an employee even when it is not displayed in the general event catalog.

Publishing events to Bitrix24 Calendar

An event can be published to a selected Bitrix24 calendar.

The publication includes:

  • the event;
  • participants.

The organizer can also send invitations with custom text.

Republishing updates the previously created calendar event.

Publication requires:

  • a selected calendar;
  • participants;
  • a published event.

Invitations are sent together with the event when it is published to the Bitrix24 calendar.

The Events module also provides a Kommo calendar option.

Bitrix24 and Kommo calendar publication applies to events. It is not available for tasks.

Post-event feedback

An event can have a feedback questionnaire that is displayed after participation.

This allows feedback to be collected immediately after the event. Event questionnaires use the capabilities of the Surveys module.

Portal-level settings also support recurring surveys for post-event questionnaires.

Assigning events

An event can be assigned directly to employees through Assignments.

This is useful when attendance is mandatory: employees receive the event directly instead of submitting a registration request and waiting for approval.

Events in learning programs

An event can be included in a learning program.

When an event is part of a program, the corresponding activity is counted based on actual participation.

This allows an in-person or online event to become one of the activities within a broader learning program.

Events and individual development plans

An event can be used as a development activity in an Individual Development Plan (IDP).

For example, a mentoring session, training event, or other development activity can be included in an employee's development plan when relevant.

Gamification

At the portal level, administrators can configure points for event participation.

Event participation can therefore contribute not only to attendance reporting but also to the gamification system.

Reports and analytics

Event information is available under Activity Reporting β†’ Events.

Reports can include:

  • attendance;
  • completion rate;
  • breakdowns by department;
  • breakdowns by position;
  • participants of a selected event;
  • participant statuses.

Reports can also include Nika.AI conclusions.

Results can be exported to:

  • Excel;

Moderator:

Responsible employee β€” portal employee:

  • acts as the responsible person for the meeting in the Bitrix24 calendar.

Employee:

  • browses available events;
  • submits registration requests;
  • receives registration decisions;
  • declines participation;
  • records their participation after the event;
  • completes post-event feedback.

Typical use cases

Training with registration

  1. A moderator creates a training event and sets a capacity, for example 20 places.
  2. The event is published.
  3. Employees register through the catalog.
  4. Requests appear in the Requests tab.
  5. The moderator approves participants.
  6. Actual attendance is recorded after the training.
  7. Participants receive the feedback questionnaire.
  8. Attendance is reflected in reporting.

Mandatory meeting

When attendance is mandatory for selected employees, the event can be assigned directly through Assignments, without requiring registration approval.

Online webinar

A moderator creates a webinar, adds the online meeting link, selects participants or opens registration, and records actual attendance after the event.

Event as part of a learning program

An event is added to a learning program, and participation counts as completion of the corresponding program activity.

Development activity

An event can be added to an employee's IDP as a development activity, such as a mentoring session or training event.

Limitations and conditions

Employee registration is available when:

  • the event is published;
  • its end date has not passed;
  • registration is open;
  • places are available.

A capacity of 0 means there is no participant limit.

Draft events are not visible to employees.

An assigned or already registered event can remain visible to an employee even if it is not displayed in the general catalog.

When an event is canceled, existing registrations and requests remain, but new registration is disabled.

Bitrix24 calendar publication is available for events and requires a selected calendar, participants, and a published event.
